ProofNest is intended to keep operational property records, authorized staff account information, and optional communications needed to provide the service. Public feedback is stored privately for founder/Scout product review and is not published in property records.

Private homeowner tracking links are designed to show only the selected task’s homeowner-safe progress. They do not intentionally show access instructions or codes, manager-only notes, staff compensation, internal costs, other properties, or the staff workspace.

Draft retention approach: preserve the minimum operational and security history needed for service continuity and auditability; review verified deletion or access requests through a documented founder process without erasing required audit/history records. Counsel must define final retention periods, request verification, authorized recipients, and notice procedures.

Staff accounts, invitations, company codes, and homeowner links are intended only for their authorized recipient and purpose. Users should not forward secure links or codes, upload access credentials to public forms, or use public links for urgent communications.

Users are responsible for confirming that material shared with homeowners is appropriate for that homeowner-facing record. ProofNest can retain security and operational audit entries for sensitive access changes, link lifecycle events, staff access decisions, and private-feedback review.

This draft does not establish a contract, jurisdiction-specific rights, or a final dispute process. Founder and counsel must review commercial terms, pricing, payment, intellectual-property, accessibility, and applicable consumer/business requirements before launch.
